Business Document Management
Providing Everything You Need

Consultancy
Every digitisation or scanning project starts with an initial discussion to clarify your aims and review the materials involved.
With 20 years of experience across a wide array of industries and organisations, we recognise that no two projects are alike, which is why our approach is tailored to each client's specific needs.
We assess the nature of your documents, define the purpose of the digitisation, select the most suitable scanning technology, and design an efficient method for data organisation and indexing to enhance accessibility.
Finally, we agree on how the digital files will be delivered and determine the handling of the original materials, whether they are to be returned, securely stored, or disposed of.
Document Scanning
We have professional-grade Kodak Alaris scanners, meticulously maintained and engineered for high-volume production, ensuring sharp and accurate digitisation for documents up to A3 size.
Our carefully selected technology and software are designed to deliver exceptional image quality and dependable performance at each stage of the process.
Before scanning commences, all materials are thoroughly prepared to ensure the best possible outcomes.
The final output is provided in the form of fully searchable multi-page PDF or PDF/A files, making your documents straightforward to store, access, and retrieve.

Large Format Scanning
Large technical drawings and oversized plans often consume valuable storage space and can be challenging to access when information is needed promptly.
Searching through physical sheets often requires handling fragile materials, which heightens the risk of damage. By utilising advanced ROWE wide-format scanners, we can transform even the most delicate drawings into fully searchable PDF or PDF/A files.
Our equipment is capable of processing formats ranging from A4 to A0 and can handle exceptionally long documents, making it ideal for intricate technical and architectural projects.

Microfilm Scanning
In the current digital-first landscape, it is crucial to have a dependable strategy for protecting microfilm collections.
Formats like roll film, microfiche, slides, jackets, and aperture cards naturally degrade over time, so proper handling and conversion become increasingly vital.
Utilising professional-grade Wicks and Wilson scanning systems, we convert all types of microfilm into high-quality, fully searchable PDF or TIFF files.
Additionally, we provide customised indexing and data capture solutions to ensure your digital archive is structured to meet your operational requirements.

Fragile Digitisation
Our Fragile Digitisation and Preservation service caters to libraries, museums, archives, and private collections that need meticulous handling of delicate items such as bound books, historical documents, maps, and framed artworks.
Utilising specialised flatbed systems and high-resolution overhead cameras, our trained archivists capture materials safely with minimal handling, ensuring there is no risk of damage. Our mobile equipment enables digitisation to be conducted either at your location or at our facility in Hillington, Glasgow, meaning sensitive materials can remain on site if you prefer.
All content is produced at an exceptionally high resolution in monochrome, greyscale, or full colour, with output formats available in PDF, TIFF, or JPEG. Standard services include Optical Character Recognition, as well as customised file naming, indexing, metadata creation, and data extraction in CSV format to facilitate integration with your document management systems. Completed files and metadata are securely transmitted via our encrypted cloud transfer platform for immediate access and long-term preservation.

AI Data Extraction
Paper and microfilm archives contain a wealth of important business information, but in a digital landscape, this data must be readily accessible and searchable.
Our cutting-edge data recognition technology can handle both typed and handwritten content, including challenging documents, ensuring accurate capture of information from scanned files.
The extracted data can subsequently be exported in CSV or Excel format and effortlessly integrated into contemporary document and records management systems.

Confidential Shredding
In an era where information security is paramount, the secure disposal of confidential materials is vital.
Our secure shredding service is designed to meet the unique needs of each client, providing flexible solutions such as one-off collections, scheduled destruction services, and shredding as part of the digitisation process.
Both paper and microfilm are destroyed in compliance with BS15713 standards, and a certificate is provided to verify safe and compliant disposal.
